Responsible for scheduling and planning of crew changes, maintaining personal records, monitoring leave and certificate renewals:
a) Administration
- Understand and comply with the Company’s Safety Management System (SMS) policies and procedures on all activities relating to crewing matters
- Ensuring all the certicates, SEA and relevant crew documents are verified and maintained in the system / software are in place, valid and to process for Marine Audits
- Circulation of weekly crew plan for internal approval of officer appointments
- Updating and maintaining of crew personnel personal records
- In liaison with crewing managers/agents, the assignment of officers and crew to nominated vessels
- Application of flag state required endorsements and certificates
- Ensure the all matters comply with ISM/ISPS Code and the Company Management System in practices, procedures and record keeping
b) Crew Planning
- Develop and maintain an organized plan for efficient crew changes for crew members
- Monitor and follow up closely on rotation plan
- Liaising with contracts managers for suitable schedules for crew changes
- Ensure crew leave cycles are properly managed and that crew are relieved on time
- Maximize crew availability by constantly rewiewing crew movements and maintaining contact with off-duty crew
- Management of crew certification validity and expiries
- Ensuring pre-joining routines for returning crew are properly managed
- To update crew article of agreement after every crew change
c) Managing Leave
- Plan and manage leave rotations for the crews to synchronize with their rejoining or reassignments dates
d) Assist with
- Prompting new regulations and requirements
- Travelling to Marine Department for certifications matters
- Monitor Crew Budget
- Any other administrative works as required by the Head of Fleet Personnel
Qualifications & Experience:
- Professional certificate, diploma, advanced/higher diploma, bachelor’s degree or COC Class 3 (WKO)
- A seagoing background and/or extensive background/experience in shore based shipping Company
- Fresh graduates are encouraged to apply; 1–2 years of relevant working experience is preferred.
- Familiar with HSE practices, STCW, MLC, and maritime labour laws.
- Understanding of crew assignments/placement for Officers and Ratings onboard vessels.
- Experience with industry compliance and auditing processes.
