1. Maintain and update the core systems databases for the site. Ensure accurate and up to date status at all times.
2. Update residents / owners contacts and address in the master list.
3. Create and manage job files in accordance with audit guidelines.
4. Maintain effective systems for filing, information retrieval, the reproduction of documents when required and file archiving.
5. Ensure that important documents including purchasers file, access cards records, Contracts, licences etc. are properly filed in the Management Office.
6. Arrange Insurances, Property Licences, Gas Certificates, Energy Performance Certificates (EPC).
7. Maintain and track site building information and action items list via various spreadsheets, databases, etc.
8. Deal appropriately with the mail and urgent messages, items for signature and confidential information.
9. Maintain inventory of office stationery and equipment maintenance record.
10. Keep the management office clean and tidy.
11. Perform reading of utility meters.
12. Perform utilities usage calculations on monthly basis.
13. Examine energy consumption patterns, technology usage, and personal property needs.
14. Administer entrance and access cards, ensuring proper maintenance of system password and handling of important keys and combination codes.
15.Preparing documents for meetings and other key events.
16. Produce all correspondence, documents, reports and presentations to agreed deadlines as required.
17. Attend team / client / contractor meetings if and as required. Provide follow up minutes and action plans if and as required.
18. Update workers timesheets.
19. Check and report attendance of all workers and staff.
20. Prioritize and effectively manage workload.
