Job Summary
The Admin/Operation Executive plays a key role in supporting the company’s regulatory and administrative functions, with a primary focus on product registration/renewal and GDP audit readiness. This role also manages daily administrative operations to ensure smooth workflow and provides backup assistance to the Customer Service team when needed.
Job Scope
- Prepare, compile, and update documentation for product registration and renewals with relevant authorities.
- Maintain accurate records of products, ingredients, certificates, expiry dates, and regulatory compliance.
- Liaise with internal teams, suppliers, and regulatory bodies for technical and compliance documentation.
- Maintain GDP compliance records including temperature/ humidity logs, calibration and maintenance records, pest control logs, and storage condition records.
- Keep SOPs, forms, and training records updated and ensure version control is in place.
- Track deviations, CAPA, and follow up to ensure timely closure of all compliance matters.
- Coordinate internal audits, mock recalls, and readiness for external GDP audits.
- Maintain and update operational and member databases accurately and promptly.
- Prepare and compile operational, compliance, and audit reports for management review.
- Manage document filing, retrieval, and retention both physically and digitally.
- Monitoroffice and customer service supplies, coordinate procurement, and track usage.
- Assist in maintaining SOPs, ensuring administrative processes remain up to date.
- Provide backup support in processing Auto ship and regular customer orders.
- Assist in handling customer complaints, returns, and product exchange documentation.
- Respond to customer inquiries via phone, email, or written correspondence when required.
- Liaise with Warehouse on delivery issues, stock discrepancies, and product exchanges.
Requirement
- High school diploma or equivalent; Diploma/Degree in Business Administration, Science, or related field preferred.
- With 2–3 years of experience, and direct selling industry experience would be an added advantage.
- Knowledge of product registration and GDP requirements will be added advantage.
- Problem-solving skills and ability to work independently as well as in a team.
- Familiarity with Malaysian regulatory requirements and GDP standards is an advantage.
- Proficient in Microsoft Office (Word, Excel, Outlook) and document management systems.

Pay: RM3,000.00 - RM4,000.00 per month
