Position Overview
The Academic Affairs Executive is responsible for supporting the effective administration of academic operations, ensuring compliance with institutional policies and external accreditation standards. The role involves managing academic documentation, coordinating between departments, and providing administrative support to lecturers, students, and management in order to ensure smooth delivery of academic programmes.
Key Responsibilities
- Assist in the planning, coordination, and execution of academic timetables, class schedules, and examination arrangements.
- Maintain and update student academic records, results, transcripts, and programme-related documentation with accuracy and confidentiality.
- Liaise with academic staff to ensure the timely submission of course outlines, teaching materials, assessments, and grading.
- Provide administrative support for academic boards, senate meetings, programme reviews, and accreditation visits.
- Support student registration processes, including enrollment, attendance tracking, and progression monitoring.
- Handle student enquiries related to academic matters, policies, and procedures in a professional manner.
- Ensure compliance with Malaysian Qualifications Agency (MQA) and Department of Skills Development (DSD) standards, as applicable.
- Assist in preparing reports and analysis for management decision-making.
- Perform other duties as assigned to support academic operations.
Qualifications and Requirements
- Bachelor’s degree in Education Administration, Business Administration, or a related field.
- Minimum 1–2 years of experience in academic administration, student affairs, or a related role (fresh graduates may be considered).
- Strong organizational skills with attention to detail and accuracy.
- Good communication skills in both English and Bahasa Malaysia (written and spoken).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); knowledge of student management systems is an added advantage.
- Ability to work independently and as part of a team in a fast-paced environment.
