RESPONSIBILITIES:
- Project Documentation and Submission Coordination: Coordinating with PM/PE on all project documentation and submissions and to ensure that relevant project records, reports and other documents are properly organized and recorded/archived. Comply and maintain ISO quality documentation.
- eOPF Revision and Sales Team Coordination: Coordinate with the sales team to revise the eOPF based on information provided by project managers or project engineers (PM/PE) and to follow up on the eopf revision creation.
- ISO Quality Documentation: Maintaining ISO quality standards is crucial. To be responsible for ensuring that project processes adhere to ISO requirements, and that documentation reflects compliance with these standards and participation in internal audit for project.
- Project Delivery and Customer Survey record: Tracking project progress not limited to delivery record, revenue and invoice capturing. To follow up with customers through surveys forms to gather feedback and ensure that the project meets their expectations at end of each project completion.
- Project Closure Administration: Handling administrative matters for project closure such as customer invoicing, Oracle project closing, updating the monthly Oracle 6S billing, creating purchase requisition and making sure the timely submission of PO to vendors, documenting handover procedures in the system, archiving project files and managing backlog phasing.
- Manual Pull-Out Monitoring: Keeping records of manual pull-outs (material charge out manually without system DO) and making sure the manual pull out are closed on a timely manner.
- Oracle System Maintenance: Maintaining the Project Module within the Oracle system and adhere to project requirement should there raise any new requirement.
- Participate and update progress in weekly meeting with PM for revenue /unbilled/project closing.
- Generate 6 series report and ONT report from system before closing and after closing for Project Manager verification. To provide project administration assistance in order to achieve overall project goals and objectives as well as to secure high level of customer satisfaction..Assist Project Engineers & Manager in administration matters to ensure that projects are implemented not only in a professional and timely manner, but within (or better) than planned budgeted cost without compromising on the quality.
REQUIREMENTS:
- Diploma in Business Administration or equivalent.
- Minimum 2 years working experience in project administration.
- Excellent communication skills..
- Good spoken and written skills both in English and Bahasa Malaysia.
- Self-motivated and good team player.
- Understanding Emerson objectives as whole in terms of business and people.
- Understand the process within project administration..
- Able to work independently and have effective inter-personal skills.
