Job Overview:
As a trainee you will be coordinating site visits and document signings with tenants and agents, updating sales information in property systems like Fastkey and IFCA, and preparing payment requisitions for legal fees, agent commissions, office utilities and provide support for various ad-hoc administrative tasks as required.
Key Responsibilities:
- Coordinate with tenants and agents to schedule site visits and document signings.
- Assist in entering bookings into property sales systems such as Fastkey and IFCA, and update all new sales records accordingly.
- Compile necessary documentation in Team Binder for payment requisitions related to SPA legal fees, loan legal fees, and agent commissions.
- Prepare and submit payment requisitions in Team Binder for office-related expenses at Kompleks Sentral, Segambut, including utilities such as water, electricity, security services, IWK, and internet.
- Photocopy and scan leasing documents, saving them in a shared folder for easy access.
- Ensure all leasing documents are properly filed in the respective tenant files and maintain an organized filing system.
- Compile and forward completed files to the Credit Admin department within three working days.
- Provide support for ad-hoc tasks as assigned from time to time.
Preferred Skills:
- Strong written and verbal communication skills in English and Bahasa Malaysia.
- Strong communication and coordination skill to effectively liaise with tenants and agents.
- Basic accounting skills to handle payment requisition and related documents.
- Able to manage multiple tasks and meet deadlines with minimal supervision.
- Excellent communication and teamwork skills.
Preferred Qualifications:
- Bachelor's degree in Business Administration, Sales and Marketing or a related field.
- Familiarity with Microsoft Office Suite (Word, PowerPoint, Excel).
- Fresh graduate are encouraged to apply.
- Basic knowledge of tools such as 360 Microsoft is a plus.
