Objectives of the Position
- Act as Business Partner Master Data (BPMD)’s Gatekeeper for Asia Pacific region
- Responsible to create/maintain BPMD, Bank Master Data (BMD) and Employee Master Data (EMD) in multiple systems (ZH4 & Z2L) for all in scope companies under KL Service Hub using the global workflow tool, Master Data Governance (MDG)
- Consistently ensure Data Integrity and Quality to support all follow-on business processes
- Ensure that timelines and quality meet the agreed service levels and targets
- Close collaboration with MD Stakeholders, global counterparts to ensure smooth processes
Main Areas of Responsibilities and Key Activities
Functional Tasks (including but not limited to):
- Act as MDG Gatekeeper in ensuring completeness and consistency in BPMD and BMD maintenance under Asia Pacific’s authorization
- Ensure all requests in MDG are attended to within the defined Service Level Agreement (SLA)
- Create, maintain and manage core/general, company code, purchasing and sales organization BPMD in the global Master Data System (MDG) according to the BASF Guidelines
- Ensure emails and requests in Functional Mailbox are handled/processed/channeled to the correct parties on a timely basis every day
- Ensure 100% Quality checks (through 4-eye-principle) for bank related data
- Continuously monitor and ensure successful data distribution from ZH4 (MDG) into Z2L (Cobalt)
- Work closely with Senior Analyst, Assistant Manager and Manager in daily operations to achieve defined objectives and targets
- Support local counterparts/internal stakeholders in extracting and preparing various BPMD and EMD related reports
- Troubleshoot and attend to MD related queries from local business partners, global counterparts, internal and external stakeholders by means of Service Recipients Feedback Survey and emails
Compliance:
- Participate in any compliance audits and respond to audit queries (for both internal and external)
- Ensure all work documentation and work processes are updated and met with BASF policies & guideline, local company’s policy, legal and statutory requirements
Quality and Continuous Improvement:
- Identify, recommend, and implement continuous improvement opportunities in quality and efficiency to support smooth implementation
- Prepare training materials and conduct end user trainings when required
- Support new and existing team members through proper knowledge transfer; and sharing of best practice thereby ensuring quality is maintained through any staff transition
- Focus on data integrity to support BASF processes by initiating and performing data clean-up activities within the team
Others:
- Support Business Continuity Plan (BCP) through resource planning, backup and communication
- Any other tasks due to Service Hub KL management strategy and/ or changing business environment may require to be performed
Additionally, for Associate Analyst:
- Act as first level support for MDG technical queries/issues and directly get in touch with IS for a second level support if
- required
- Act as Area of Competency (AOC) member or topic owner for Master Data processes
- Support Internal, Regional and Global projects as and when required
Education
- Bachelor’s Degree or Diploma in Finance/ Accounting or related disciplines or Professional qualification in Finance (e.g., ACCA, CPA, etc.)
Working Experience & Skills
- Fresh graduate with Bachelor’s Degree in Finance/ Accounting or related disciplines
- Diploma with minimum 1-2 years working experience in related fields
- External experience in a shared service or business process outsourcing engagement will be an added advantage
- Good interpersonal skills to communicate to service recipients
- Good time management, good organization skills and multi-tasking skills
- Ability to work independently with minimal supervision, and to excel under pressure for meeting any tight deadlines
Technical & Professional Knowledge
- Knowledge of MS Office Applications, especially MS Word, Excel and Power Point
- Knowledge of SAP Systems will be an added advantage
- Proficiency in English and other languages required
- Knowledge in programing or scripting are an added advantage but not mandatory
