POSITION SUMMARY:
Provide support for smooth operations in the logistics department. It involves variety of administrative tasks, such as managing documentation, audit and validating billings, SAP PR/PO placement, and department event coordination.
RESPONSIBILITIES:
- Assisting to coordinate outgoing shipments, processing incoming shipments, and ensuring timely delivery of consumable goods as and when is needed using SAP system.
- Organizing and filing logistics documents (invoices, packing lists, etc.), maintaining records, and ensuring accuracy.
- Check, validate and approve consumable purchases requested by Third Party Logistics.
- Maintaining accurate records of filings, receipt and other logsitics confidentiality documents.
- Supporting the logistics manager with various tasks, including scheduling meetings, preparing presentations, and handling correspondence.
- Performing tasks such as filing, photocopying, data entry, and maintaining databases for new department staff’s registration and setup.
- Coordinate logistics department events and training and workshop.
- Maintain confidentiality of all information related to the production processes and components, business and other technology including materials.
- Other duties as assigned.
WORK ENVIRONMENT
- Location: Penang Batu Maung, Bayan Lepas (may occasionally need to travel to Simpang Ampat)
- Primarily works in a fast-paced office environment and 3rd Party Logistics warehouse which may be noisy and fast paced.
- Works in a standard office environment and uses general office equipment (telephone, PC, copier, fax machine, etc.).
- Works under general supervision.
QUALIFICATIONS:
- Minimum Diploma in Business Administration, Management, Office Management, or related field.
- Good command of English and Bahasa Malaysia (both written and spoken).
- Experience in using office equipment (printers, copiers, fax).
SKILLS:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Organization and attention to detail.
- Time management and ability to multitask.
EXPERIENCE:
Essential:
- Minimum of three (3) to five (5) years of experience in administrative, clerical work or related filed.
Desirable:
- Experience of development and support of ERP systems (SAP).
EDUCATION:
- Diploma in Business Administration, Management, Office Management, or related field.
