Job Description
Purpose of the role
Supporting and driving efficient leasing administration processes across Ikano Centres. This role focuses on coordinating accurate information flow, maintaining data integrity, and ensuring compliance with internal policies and procedures. The Leasing Administration Specialist works closely with Ikano Centres Lease Group and Centre Management teams to uphold high standards in lease administration and operational excellence.
Responsibilities of the role
- Support a structured information flow to align all lease administration related processes, contributing to team efficiency and alignment.
- Ensure timely and accurate execution of lease agreements and related documentation, including stamping and deposit payments.
- Monitor and enhance process efficiency through regular analysis of lease administration and tenant operations workflows.
- Maintain and update lease-related data in the Ikano Centre Management System (ICMS) and other relevant databases, ensuring accuracy and data integrity; act as a superuser for the ICMS system.
- Generate and support management reports, ensuring the availability of high-quality data to support analytics and decision-making.
- Ensure compliance with internal Standard Operating Procedures (SOPs) and governance requirements for all tenancy matters.
- Review and provide comments on legal documents when required, ensuring alignment with company policies.
- Liaise and coordinate with tenants to support smooth lease process execution.
- Assist in coordinating events and initiatives driven by the Commercial Function.
Qualifications
- 2-3 years of experience in leasing administration or a related field
- Bachelor's degree in Business Administration, Real Estate, or a related field (preferred)
- Proficiency in lease management software and Microsoft Office Suite
- Strong attention to detail and excellent organizational skills
- Outstanding written and verbal communication abilities
- Experience in retail or commercial property management
- Understanding of retail leasing practices and industry trends
- Ability to work efficiently in a fast-paced environment
- Strong problem-solving skills and proactive approach to work
- Excellent interpersonal skills and ability to work collaboratively in a team
- Fluency in English and Bahasa Malaysia (additional languages are a plus)
