Location: Kuchai Lama
This role is to provides support to the Commercial Manager /Senior Commercial Manager in matters during the tender submission phase and post contract phase.
Procurement & Contractor Management
· Source and evaluate quotations from suppliers and contractors
· Assisting in issuing purchase orders or contractor documents under supervision
Tendering, Cost Estimation Support & Cost Control
· Collect and compile subcontractor/supplier quotations. Project drawings, BOQ, and specifications.
· Assist in formatting, binding, and submission of tender documents.
· Estimate quantity and costs of materials.
· Prepare basic quantity take-offs and support cost comparison exercises.
· Draft price comparison tables and submit to reporting officer.
· Assist in maintaining cost tracking sheets and progress claim schedules.
· Track construction progress and update claims accordingly.
· Set budgets for payments, monitor inventory and material usage.
Documentation & Compliance:
· Maintain organized project documentation and reporting files.
· Support preparation of formal letters or submission packs, tracking variations, updating BQ, and final accounts.
· Join site visits for measurement or documentation clarification.
· Liaise with internal teams and site personnel to resolve minor issues.
Contract Administration:
· File and track all claims, site instructions, and contract correspondences.
· Draft variation orders with supporting documents and assist in negotiating quantities or rates under guidance.
· Support documentation (VOs, EOTs, claims including extension of time submissions.
· Update contract registers and cost logs.
· Track interim certificates and payment status.
· Liaise with consultants for claim clarifications and document follow-up.
· Support preparation and verification under supervision on subcontractor claims and payment certifications
Communication & Coordination:
· Coordinate internally with site teams and externally with consultants for data clarification.
· Take meeting minutes and track follow-ups.
Other Duties and Learning Development:
· Risk Awareness & Commercial Impact. Flag potential cost risks or discrepancies to supervisors
· Assist in generating weekly/monthly cost summaries or progress updates.
· Additional responsibilities as assigned in alignment with department
· Proactively engage in internal SOPs and tools learning.
· Participate in department initiatives and improvement programs.
