Key Responsibilities:
- Assist in the preparation, printing, and distribution of examination papers under strict confidentiality.
- Coordinate exam schedules, seating arrangements, and venue bookings.
- Support the logistics for examination sessions, including attendance lists, invigilation schedules, and material preparation.
- Record and manage students’ examination attendance and misconduct reports (if any).
- Assist in the processing and safekeeping of examination results and mark entry submissions.
- Ensure proper filing and archiving of all examination-related documents
- Maintain accurate and updated student academic records (e.g. transcripts, course registration, grades).
- Assist in the coordination of course registration, class timetables, and academic calendars.
- Handle inquiries from students and academic staff regarding academic policies and procedures.
- Support the preparation of reports and statistics for internal and external use.
- Ensure compliance with institutional guidelines in all administrative processes.
Requirements:
Qualifications:
- Minimum SPM/STPM/Diploma in Office Management, Business Administration, or related field.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic database systems.
Experience:
- At least 1 year of relevant clerical or administrative experience is preferred.
- Experience in academic or educational settings is an advantage.
Skills and Attributes:
- Strong attention to detail and high level of confidentiality.
- Good organizational and time-management skills.
- Ability to communicate effectively in Bahasa Malaysia and English.
- Able to work independently and as part of a team.
- Able to meet tight deadlines, especially during examination periods.
- Diploma or bachelor’s degree preferred.
- Strong proficiency in written and spoken English.
- Excellent organizational and time-management skills.
- Ability to handle sensitive and confidential information with discretion.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) or similar office software.
- Strong communication skills, both verbal and written.
- Attention to detail and accuracy in data entry and document management.
- Previous experience in an administrative or customer service role is preferred, particularly in a higher education setting.
